Administrative Assistant

The Center for Family Health is currently seeking an Administrative Assistant for our Downtown location.

Position Summary:

 

Responsible for a variety of tasks assisting Managers and Medical Director.

 

Essential Duties and Responsibilities:

 

  • Distribute mail, screens calls to determine who needs to see Medical Director. Reviews emails, voice mail, determines urgency and responds when necessary.    
  • Organizes and prioritize large volumes of information and calls.Act as a liaison with other departments, and outside agencies, including high-level staff.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Provides administrative support to Medical Office Management, Chief Medical Officer, and Medical Director staff facilitating the clinical function within the agency including preparing correspondence, reports and other documents and material.
  • Maintains appointment and meeting calendars, arrange meetings, secures and prepares facilities, makes related travel arrangements.
  • Contacts outside agencies and groups for meetings, gathering of information and other operational responsibilities.
  • Aids manager/executive with collecting and tabulating data, preparing reports. Maintaining program files, developing and maintaining related forms.
  • Updates and maintains provider calendar, builds physician's templates, block and open patient schedule when necessary.
  • Maintains and tracks provider time off.
  • Gathers and communicates rounding schedules and handles provider non-schedule related issues and requests.
  • Creates and distributes various reports.
  • Prepare agendas and supporting materials for various meetings in coordination with Medical Director and managers.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, minutes, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Assists in coordination of CFH GME Continuity Clinic.

 

Non-Essential Functions 

Performs other duties as assigned.

 

Education/Training/Experience

 

  • Requires 2-5 years of previous administrative experience as an executive administrative assistant, preferably in health care.
  • High School Diploma required, Associates Degree preferred.
  • Experience with all MS Office programs.
  • Routine testing/training on various job related skills and competencies.

  • Ability to insure thoroughness and accuracy in work.
  • Knowledge of Microsoft Office products.
  • Sound decisions making skills.
